Template Settings is where you design and customize every email your customers receive – from the initial review request to follow-up reminders and thank-you messages. With powerful visual editing, global styling options, and instant previews, you can create professional emails that match your brand perfectly.

Understanding the Template System

Template Types

Reviewsion includes several email templates, each serving a specific purpose:

  1. Review Request - The initial invitation to leave a review

  2. Follow-up #1 - First reminder (if configured)

  3. Follow-up #2 - Second reminder (Pro plan)

  4. Follow-up #3 - Final reminder (Pro plan)

  5. Thank You - Sent after review submission

Each template can be customized independently while sharing global styling settings for consistency.

The Two-Part System

Templates work in two layers:

  1. Global Settings - Apply to all templates

    • Theme selection

    • Brand color

    • Logo

    • Font family

  2. Individual Templates - Unique content per email type

    • Subject line

    • Email body

    • Specific messaging

    • Call-to-action button

Global Styling Settings

Email Themes

The foundation of your email design starts with choosing a theme.

Standard Plan: 1 Theme

Classic Theme

  • Clean, professional design

  • Universal appeal

  • Works for all industries

  • Optimized for readability

Pro Plan: 4 Themes

  1. Classic - Clean, professional design

  2. Modern - Gradient backgrounds, contemporary styling

  3. Minimal - Typography-focused, lots of whitespace

  4. Elegant - Sophisticateds, premium feel

Primary Color

Your brand's main color, used for:

  • Buttons

  • Links

  • Accent elements

  • Headers

Best practices:

  • Use your brand's primary color

  • Ensure sufficient contrast with white text

Logo Upload

Add your brand logo to appear in email headers.

Requirements:

  • Max size: 2MB

  • Formats: PNG or JPG

  • Recommended: Transparent PNG

  • Dimensions: 200-400px wide

Tips:

  • Use a horizontal logo version

  • Ensure it's readable on mobile

  • Test on light backgrounds

  • Consider a simplified version

Font Family

Choose typography that matches your brand:

  • Default (System Fonts) - Maximum compatibility

  • Inter - Clean, modern, tech-friendly

  • Open Sans - Friendly, highly readable

  • Lato - Professional yet warm

  • Roboto - Neutral, versatile

  • Merriweather - Elegant serif option

Saving Global Settings

Click "Save Global Settings" to apply changes across all templates. These settings persist even when editing individual templates.

Working with Individual Templates

Each template has three main components:

1. Subject Line

The email subject that appears in inbox.

Best practices:

  • Keep under 50 characters

  • Use personalization (customer name)

  • Create urgency without spam triggers

Examples:

  • "##{{customer_first_name}}, how was your recent order?"

  • "Quick question about order ###{{order_number}}"

  • "Your feedback matters - ##{{shop_name}}"

2. Email Body

The main content using a visual editor with formatting tools:

Formatting Options:

  • Bold - Emphasize key points

  • Italic - Subtle emphasis

  • Heading - Structure content

  • Link - Additional resources

3. Template Variables

Dynamic placeholders that personalize each email.

Available Variables

Click any variable to copy it to clipboard:

Customer Variables

  • ##{{customer_first_name}} - Customer's first name

  • ##{{customer_last_name}} - Customer's last name

Order Variables

  • ##{{order_number}} - Order number on Shopify

  • ##{{order_details}} - Product list (auto-generated)

Shop Variables

  • ##{{shop_name}} - Your store name

Action Variables

  • ##{{request_button}} - Review button (REQUIRED)

Discount Variables

  • ##{{discount_amount_review}} - Amount of discount for text review

  • ##{{discount_amount_media}} - Amount for review with media

  • ##{{discount_code}} - The discount code (only applicable for thank you email.

  • ##{{coupon_amount}} - The discount amount (only applicable for thank you email.

Required Elements

Every template MUST include:

  1. ##{{request_button}} - The review submission button

Missing these will prevent sending.

Preview and Testing

Live Preview Mode

Toggle between Edit and Preview to see exactly how emails will look.

Preview shows:

  • Rendered HTML

  • Variable substitution with sample data

  • Mobile responsive view

  • Actual fonts and colors

What to check:

  • Variable replacement working

  • Formatting preserved

  • Images loading

  • Button visibility

  • Mobile layout

Send Test Email

Test your templates with real delivery:

  1. Click "Send Test"

  2. Enter recipient email

  3. Check inbox (and spam)

  4. Review on different devices

  5. Click all links

Test for:

  • Subject line appeal

  • Spam folder placement

  • Mobile rendering

  • Link functionality

  • Load time

Template Limitations:

  • No JavaScript, HTML or CSS
